Virtual team meetings can be incredibly effective when they’re done right – and disastrous to team morale and productivity when managed poorly.
In a virtual meeting you may have some people sitting around a teleconference table while other people are joining remotely from their own computer. Everyone is on the web conference, so it’s not a problem. Right?
All too often, the virtual participants feel a sense of isolation because they’re at a disadvantage. They can sense when their co-located colleagues are enjoying a communicative advantage, engaging in whispers, side conversations and verbal cues.
That sense of isolation leads to:
- lack of participation
- distractibility and multitasking
- low morale
In this 3-part series, we’ll take a look at some of the top tips you can put into place to have the best virtual team meeting… ever! In In part 2, we examine best practices to incorporate during the meeting, and in part 3 we’ll look at the last component: what to do after the meeting.
Before the Virtual Team Meeting:
Virtual Team Best Practice #1: Create a Graphical Depiction
The best practice is to have everyone join remotely, levelling the playing field. if you can’t do that then we suggest you create a graphical depiction of your team with the names of the attendees and their location. Every person on the team should have a copy of who is joining the meeting, and from where.
Everyone knows the phrase “out of sight, out of mind.” A graphical depiction of every meeting participant is a great visual reference for everyone to keep track of who they’re meeting with. Further, managers can use it to ensure they address and include team members who may not have spoken.
By distributing a graphical depiction prior to virtual meetings, you’ll provide your team with a valuable tool that makes them feel involved and valued, and drives engagement.
